Every property.
Fewer loose ends.

A buyer waiting for a reply. A viewing to organise. A repair with three people chasing it.

Connect the conversations, the property and the person taking the next step.

Sales & leasing

A good inspection.
A better follow-through.

You’ve opened the door, answered the questions and met the people. Now the notes are on your phone, the follow-ups are in your head and the next inspection is starting.

Carry attendance, questions and document requests into the property record as you go. Give follow-ups an owner and prepare a useful vendor or landlord update from the same information.

The conversation continues after everyone leaves.

Applications & forms

The application’s in.
The chasing starts.

One form in the portal. An attachment in an email. A missing answer you only spot when you sit down to review.

Bring applications, supporting files and follow-ups into the same record. Flag incomplete fields, request what’s missing and give the leasing team a clear review queue.

From viewing forms to owner onboarding, we connect the paperwork to the people and property it belongs to.

One application. Every form, file and next step together.

Property management

The repair is simple.
The chasing isn’t.

The tenant has sent a photo. The tradie has sent a quote. The owner’s reply is somewhere in an email chain. Everyone calls you for the next update.

Keep the request, photos, quote and approval in one repair record. Route the next action to the right person, then prepare the work order and access arrangements when approval is recorded.

One request, through to resolution. Every handover accounted for.

One property record.
The right view for everyone.

Your team needs the whole picture. Your clients need a clear answer.

We bring the agency workspace, client updates and contractor handovers together. One team to connect your existing tools and build the pieces around them.

Start with the chase
you know too well.

Your CRM may already do part of this. We look at what is configured, what connects and where your team still has to bridge the gap.

Illustrative agency records, not client results.

  1. 01

    Follow one real request.

Walk an enquiry or repair through the agency. Find the repeated entry, missing context and waiting points.

  2. 02

    Connect the useful pieces.

Agree the source records, supported connections, access rules and review steps. Build a first workflow your team can use.

  3. 03

    Bring the rest together.

Test it with the people doing the work, then extend the same approach across the property lifecycle.

Talk about your agency
Is this for sales, leasing or property management?

All three. Sales teams may start with appraisal enquiries, open homes and vendor reporting. Leasing teams may need viewing follow-up, application handovers and onboarding tasks. Property managers may start with maintenance, inspections and owner updates. We scope around the work your agency actually does.

Can you work with Rex, PropertyMe or Reapit?

We start by reviewing your current setup. These platforms already offer useful workflows and integrations; we use what fits, check the access your product and plan support, and build only the connections or tools your agency needs. A particular connection is confirmed during scoping, not assumed.

Can portal, website and phone enquiries come together?

Where the channels support it, we can bring enquiries into the right contact and property record, with source, conversation and next action attached. Matching rules and a queue for uncertain matches help your team avoid mixing people or properties.

Can you help process applications and manage our forms?

Yes. We can connect application forms, supporting files and correspondence to the right person and property, flag incomplete fields, request missing information and give your team an owned review queue. The same approach can support viewing forms, owner onboarding and tenancy handovers. We agree the permitted information, required fields, access and retention with your agency, and use your existing form tools where they fit. Applicant assessment and decisions stay with your authorised team.

Can owners, tenants and contractors see different information?

Yes. We define what each role can see and do. An owner may need a quote to approve; a tenant needs the repair status and access arrangements; a contractor needs the authorised work. Agency notes and unrelated personal details remain restricted.

Who approves repairs and sends the updates?

Your agency sets the rules. We can prepare approval requests, track decisions and route reminders, while keeping authorisation and exceptions with the right person. Urgent repairs get a separately agreed escalation path. The example shows an ordinary repair waiting for approval.

Does this replace our trust accounting or make applicant decisions?

Neither is assumed. Your existing accounting and application processes remain part of the scope. We can connect administrative records and tasks where supported. Tenant selection, legal notices, financial approvals and other consequential decisions remain with your authorised team.

What does a first project look like?

Choose one handover that keeps causing a chase. We map the people, records and tools involved, agree a clear scope and written quote, then test it with your team before expanding. One Fulcrum team handles the forms, workspace, portals and connections we build.
