One client.
Too many places.

The brief is in your CRM. The scope is in a proposal. The work is on a board. Your team keeps carrying the same details between them.

We connect the job, from the first brief to the final invoice.

Talk about your client workflow

For consultants, agencies, engineering and design firms.

The subscriptions add up.
So does the admin.

HubSpot, Salesforce or GoHighLevel for your CRM. PandaDoc for proposals. Asana for projects. Each tool has a job. The handovers still need an owner.

We look at what earns its place, what overlaps and where a better connection would save your team the repeat work.

“Just one more thing”
is still more work.

A new request lands halfway through the job. It gets added to the task list. The conversation about time and fees comes much later.

Keep the request beside the agreed scope. Give it a proposed fee, an owner and a clear approval step before it changes the delivery plan.

The extra work gets a decision, before it gets done.

A task list isn’t
a working week.

The new workshop fits on a board. It doesn’t fit into an already full Wednesday.

Bring project effort, skills, leave and existing commitments into the same view. See the clash, find a realistic slot and confirm the change with the client.

Promise a date with the whole week in view.

Approved.
But which version?

The feedback is in an email. The revised report is in a folder. The “looks good” is somewhere else.

Give the client one clear place to review the current document. Keep comments and the final decision attached to that version, then carry the approval into the next step.

One version to work from. A decision you can find.

The work is done.
Keep it moving.

The accepted scope, client decision and billing milestone belong to the same job. Bring those records together so the invoice can be prepared, checked and sent without another search through everyone’s inbox.

Illustrative client workflow. Connections and review steps are scoped around your business.

One team.
Across the whole job.

We take responsibility for the connections between the tools, as well as the parts we build.

  1. 01

    Follow the work.

Walk one client job from brief to invoice. Find the repeated entry, hidden extras and handovers that stall.

  2. 02

    Make the useful connection.

Use what your existing tools do well. Configure, connect or build the missing piece, then test it with your team.

  3. 03

    Keep the whole flow working.

Train the people using it, document the handovers and agree support. Extend it from a working first step.

Where does your
work get stuck?

The repeat entry. The unpriced extras. The Friday spent finding what can be invoiced. Show us one job and we’ll work through a better way.

Show us your workflow
Can we keep HubSpot, Salesforce or GoHighLevel?

Yes, where they are working for you. We look at your CRM, proposal, project and accounting tools, then check their existing features, supported connections and account permissions. The scope sets out what stays, what connects and what needs a custom build.

Could we reduce the number of subscriptions?

Possibly. We check which features your team actually uses and where you are paying for overlap. Sometimes configuring a tool you already have is enough. Sometimes consolidating a workflow makes sense. We compare the ongoing costs, migration work and support before recommending a change.

Can client requests become paid changes?

We can give extra requests a clear review path: record what changed, prepare the proposed fee and timing, and send it for approval. Accepted changes can then update delivery and billing. Your team controls what is in scope and what needs agreement.

Can it account for availability across several projects?

Yes. We can bring estimated effort, committed work, proposed jobs, skills and leave into the same planning view. The aim is to make clashes visible before you promise a date, with changes and assignments confirmed by the people responsible.

Do clients have to use our internal software?

No. A focused client portal can show their own requests, files, updates and approvals without exposing internal notes or other clients’ information. We agree access and document boundaries before building.

Where would we start?

Follow one real client job from the first brief to the invoice. We identify the handover causing the most re-entry or delay, agree a written scope and quote, and test that connection with your team before extending the workflow.
